Attack! Marketing is seeking a proactive, detail-driven Project Manager to oversee retail demos, Costco roadshows, and field marketing activations like mobile tours, pop-up events, and brand experiences for national brand clients. This role requires direct ownership of staffing, scheduling, fulfillment, logistics, and financial oversight to ensure seamless program execution across all markets, including nights and weekends.
The ideal candidate will have hands-on experience leading staffing and scheduling for large-scale retail demos and field marketing activations, with expertise in reconciling budgets, managing timelines, vendor logistics, and solving challenges in fast-paced environments. This role demands strong leadership, operational precision, and the ability to manage multiple programs simultaneously while meeting stringent deadlines.
Recruiting & Staffing
Own the full staffing lifecycle: recruiting, interviewing, hiring, and managing Brand Ambassadors, Field Managers, and onsite staff.
Maintain accurate staff profiles and availability calendars aligned to client/project needs.
Confirm talent assignments and ensure clear communication of program details and expectations.
Conduct staff check-ins, manage performance feedback, and resolve real-time coverage gaps, including nights and weekends.
Retail Demo Program Management
Oversee the execution of retail demo programs and Costco roadshows, ensuring strategic alignment with client KPIs, retailer specifications, and aggressive scheduling targets to secure demo dates early, maximize store coverage, and meet promotional timelines.
Scheduling Management
Oversee demo scheduling processes, ensuring timelines align with client goals, retailer policies, and sampling calendars, while maintaining detailed scheduling trackers for internal visibility, reporting, and escalation planning.
Maintain ownership of demo sampling calendars and scheduling trackers, ensuring alignment with promotional periods, sales events, and client-provided sale dates to maximize program impact and retailer synergy.
Manage real-time adjustments to demo schedules, including urgent re-bookings and escalations, and coordinate major timeline changes with leadership and clients if deliverables are impacted.
Utilize geo-clustering and market prioritization to optimize demo efficiency and reduce program costs.
Ensure 100% execution of retail demos through live monitoring, check-ins, and issue resolution.
Field Marketing & Experiential Program Management
Lead operational execution of mobile tours, pop-up events, and large-scale field marketing activations.
Manage event research, permitting, venue coordination, and organizer negotiations to secure activation opportunities.
Oversee logistics planning for event assets, branded vehicles, cold storage, freight, and transportation.
Ensure field activations align with client goals, creative strategy, operational timelines, and budget parameters.
Provide onsite or remote escalation support for major events, troubleshooting and ensuring success.
Client Relationship Management
Serve as a point of contact for clients, supporting the Account Manager and ensuring proactive, detailed communication.
Draft internal and external call agendas and ensure discussions remain focused and solution-oriented.
Prepare internal action plans and task trackers based on call outcomes.
Support client follow-ups on deliverables, timelines, and program updates.
Budget Management & Reconciliation
Own program budgets for retail and field marketing programs, tracking expenses, and reconciling costs post-activation.
Prepare cost estimates and quotes aligned with client goals.
Identify cost-saving opportunities without compromising program quality.
Maintain internal budget trackers and collaborate with the accounting team to ensure accuracy.
Payroll Oversight
Oversee timesheet and expense submission processes for Brand Ambassadors and Field Managers.
Verify payroll accuracy, approve reimbursements, and address discrepancies in partnership with accounting.
Logistics & Asset Management
Manage inventory tracking, ordering, and shipping for demo kits, experiential assets, branded vehicles, and supplies.
Coordinate fulfillment centers, storage solutions (including cold storage when necessary), and freight logistics.
Maintain asset tracking systems to ensure proper storage, rotation, and deployment.
Problem Solving & Escalation
Proactively monitor all program execution to ensure 100% activation fulfillment.
Step in during nights and weekends to resolve urgent staffing, scheduling, or logistics challenges.
Serve as an escalation point for live event issues and operational problem-solving.
Reporting & Insights
Track and report on key metrics such as staffing fulfillment, schedule adherence, consumer engagement, and event success rates.
Manage the review and processing of demo and field marketing recaps, photos, and staff feedback.
Compile post-program wrap reports with actionable insights and recommendations.
3-5+ years of experience in project management, experiential marketing, event production, or staffing leadership roles.
Proven direct experience leading demo programs, roadshows, mobile tours, pop-up events, and experiential activations.
Experience with national retailers (e.g., Costco, Whole Foods, Sprouts) and experiential event execution.
CPG, lifestyle, or experiential marketing industry experience preferred.
Skills
