Sales Support Specialist

MissionHires is seeking a Sales Support Specialist on behalf of a client to partner closely with outside sales, delivering timely, accurate quotes and proposals that align to each customer’s scope. This role manages quote workflows, maintains data integrity across Excel, SharePoint, and internal databases, and supports Account Managers through EWA assignment, approvals, and job setup. The ideal candidate brings strong Excel skills, meticulous attention to detail, and excellent customer service.

• Collaborate with outside sales to deliver competitive, accurate, and timely estimates and proposals
• Understand customer-specific business needs and scopes to tailor proposals appropriately
• Seek internal technical input as needed to ensure proposal completeness and accuracy
• Maintain current technician work requests, typically managed in Excel
• Utilize, update, and ensure integrity of the quoted work database with rigorous file management
• Upload and organize information on SharePoint for visibility and collaboration with team members
• Assign Extra Work Authorizations (EWA) to the correct Account Manager and gather needed details
• Obtain vendor costs, secure internal approvals, and send formal quotes to customers
• Upon customer approval, assist Account Managers with job setup and dispatch handoff
• Provide administrative support to assigned Account Manager and broader Sales Support team

• High School diploma or GED
• 2–4 years of related experience (e.g., commercial HVAC, estimating, or parts/counter sales)
• Proficiency with Microsoft Excel, Outlook, Word, and PDF tools
• Strong and accurate data entry capabilities
• Excellent attention to detail and organizational skills
• Strong verbal and written communication skills
• Outstanding customer service orientation
• Proven ability to prioritize work and manage multiple tasks simultaneously
