Role Overview:
We’re looking for a RevOps Specialist (Outbound Operations) to own the operational backbone of our outbound broker outreach.
This role is responsible for turning a largely founder- and leadership-driven outbound motion into a scalable, data-driven system. You’ll manage outbound tooling, build reporting infrastructure, conduct broker list research and qualification, and work closely with production underwriting and leadership to continuously improve performance.
This role is highly operational and hands-on. You will spend much of your time working directly inside tools like HubSpot, AirCall, and spreadsheets, investigating issues, managing data, and supporting outbound operations in real time. This role combines systems building with day-to-day operational support for outbound sales activities.
You’ll work directly with the Director of RevOps, the CEO, and production underwriting leadership. This role is best suited for someone who enjoys solving operational problems quickly and supporting teams in a fast-moving environment.
Work Environment:
This role sits at the center of several fast-moving teams (sales, leadership, and RevOps). You’ll frequently receive requests from multiple stakeholders and will need to quickly prioritize and solve operational issues in real time.
A typical day may involve:
troubleshooting CRM or calling tool issues
responding to sales team operational requests
updating dashboards or data pipelines
researching new prospect lists
implementing or fixing automations
Priorities may shift during the day as operational needs arise.
Success in this role requires comfort working in a dynamic, interruption-driven environment.
Key Responsibilities:
1. Tooling & Systems Management
Own AirCall configuration, troubleshooting, and HubSpot integration
Manage outbound tools (SMS platforms, LinkedIn Sales Navigator, etc.)
Ensure all calls, meetings, and outreach activities are correctly tracked in HubSpot
Evaluate and maintain the outbound technology stack
2. Reporting & Analytics
Build and maintain dashboards tracking outbound activity (calls, emails, LinkedIn touches)
Monitor conversion rates by list, rep, geography, and outreach type
Identify underperforming lists, campaigns, and sequences
Track outbound KPIs such as:
connect rate
conversation rate
meeting set rate
3. List Management & Research
Research and identify qualified broker prospects using tools like LinkedIn and data providers
Build and maintain segmented prospect lists in HubSpot
Ensure strong data hygiene and consistent categorization
Work with leadership to define and refine broker ICP criteria
4. Process Optimization
Shadow production underwriting and leadership to understand real-world workflows
Identify operational bottlenecks and friction points
Translate observed best practices into scalable processes
Optimize outbound sequences (call/email/LinkedIn cadences)
QA outbound execution for quality, consistency, and tracking accuracy
Implement automations of workflows
Must-Have Requirements:
1. Experience
Experience working in outbound operations (Sales Ops, SDR Ops, RevOps, or similar)
Hands-on experience supporting outbound campaigns across calls, email, and LinkedIn
Proven ability to build reports and dashboards from CRM data
2. Technical Skills
Strong HubSpot experience (reporting, workflows, list management, integrations, etc.)
Experience with call tracking tools (AirCall or similar)
Comfortable working with spreadsheets, data uploads, and data cleanup
Basic automation experience (HubSpot workflows, n8n, or similar)
3. Soft Skills
Fluent English (written and spoken)
Strong analytical mindset with the ability to spot patterns and issues in data
Operational problem-solving mindset — enjoys diagnosing issues, fixing broken processes, and improving systems
Self-starter who can investigate problems and propose solutions
Comfortable operating in fast-paced startup environments where priorities may shift and multiple teams may request support simultaneously
4. Other
Available to work 9 am – 6 pm EST and more
Comfortable collaborating closely with sales teams and responding to operational requests during the workday
Nice-to-Have:
Experience with partner or channel-based sales models
Experience in B2B SaaS, insurance, or healthcare
Familiarity with ZoomInfo, Apollo, or similar prospecting tools
Experience with automation tools like n8n
Experience building AI agents
Early-stage startup experience
SQL or advanced data analysis skills
