We are seeking a detail-oriented and proactive Remote Compliance Specialist to join our team. This role will be responsible for ensuring regulatory compliance across all transportation operations, monitoring daily activities, maintaining up-to-date driver and vehicle records, and supporting drivers and management in adhering to Department of Transportation (DOT) requirements. The ideal candidate will thrive in a fast-paced environment, possess strong analytical skills, and demonstrate a commitment to maintaining high safety and compliance standards.
Key Responsibilities:
Monitor (daily) DOT Hours of Service (HOS) and DVIRs on ELD (Samsara); identify and correct possible violations or discrepancies.
Set up, maintain, and close Federal and State DOT numbers, as well as other State and Local DOT regulatory agency requirements, based on production location.
Conduct daily HOS log audits; download and organize documents such as Bills of Lading and Fuel Receipts.
Contact drivers regarding missing documents or upcoming DQ (Driver Qualification) document renewals.
Monitor trips and routes using the Transportation Management Software TRAXs system; identify and correct discrepancies for any trip.
Report possible maintenance problems from DVIRs to supervisors or the Safety Department.
Provide Q&A training sessions with drivers and transportation management on HOS logs (ELD) and payroll systems.
Review safety events in Samsara, assign high-risk cases to Supervisors, and prepare a weekly Safety Report.
Ensure all drivers meet fleet and DOT requirements through Driver Qualification files (Licenses, Medical Certificates, Annual Driving Records, Clearinghouse Queries).
Ensure organizational policies and procedures remain aligned with current laws and industry regulations.
Qualifications:
Proven experience in transportation compliance, safety, or regulatory roles (DOT compliance strongly preferred).
Strong knowledge of DOT regulations, Hours of Service (HOS), and ELD systems (Samsara experience is a plus).
Familiarity with Transportation Management Software (TRAXs or similar).
High attention to detail with the ability to identify gaps and implement corrective measures.
Excellent communication skills for working with drivers, supervisors, and management.
Strong organizational and time-management skills to handle daily monitoring and reporting tasks.
Ability to work independently while maintaining collaboration across departments.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar tools.
Detail-oriented, proactive, and adaptable in a fast-paced environment.
