The Coordinator is responsible for:

  1. Integrating elements such as logistics, participants, venue, technology, suppliers, timelines, permits, catering, among others, so they function in a coherent way

  2. Ensuring that the client receives exactly what they requested and guaranteeing a satisfactory experience

  3. Minimizing risks and resolving issues before they escalate

  4. Optimizing costs and resources

  5. Maintaining clear and constant communication with all parties involved

How You'll Contribute

• Plan and coordinate events from start to finish, ensuring that all details are covered and that the client's objectives and budget are met.
• Manage event logistics, including venue selection, catering, transportation, and accommodations.
• Collaborate closely with creative and design teams to ensure that the event’s aesthetics and experience meet BI WORLDWIDE’s quality standards.
• Develop and maintain strong relationships with suppliers, partners, and contacts across Latin America to guarantee excellence in event execution.
• Expand the client portfolio by attracting new business through their extensive network of industry contacts and relationships.
• Supervise and lead work teams during event execution, ensuring effective coordination and a high level of client satisfaction.
• Stay up to date with industry trends and best practices to deliver constant innovation and high-quality service.

What Makes You a Great Fit

• Minimum of 3 years of experience in planning, coordinating, and successfully executing events for large audiences across Latin America
• Bachelor’s degree in business, marketing, communications, or related fields
• Extensive network of contacts and partners in the travel, events, entertainment, and technology industries
• Proven skills in supplier negotiation and efficient budget management
• Ability to work under pressure and meet tight deadlines without compromising quality
• Excellent verbal and written communication skills in both Spanish and English
• Strong leadership skills and the ability to motivate and guide teams toward success
• Experience operating events in Mexico or abroad
• Creativity and flexibility
• Excellent customer service
• Strong attention to detail
• Valid visa and passport
• Availability to travel
• Familiarity with IATA airport codes and airlines
• Knowledge of negotiations with hotels and local suppliers such as DMCs, restaurants, tour operators, etc.
