Quality Certain Inc, a leading IT services and consulting firm headquartered in Atlanta, GA, is seeking a detail-oriented Administrative Assistant to support daily operations and enable dependable delivery across our global teams in the U.S., India, and Nigeria. This role will coordinate schedules, manage communications, support documentation and procurement, assist HR and finance with routine tasks, and ensure smooth office and virtual operations. The ideal candidate is organized, tech-savvy, customer-centric, and comfortable working across time zones in a fast-paced, quality-driven environment.

How You'll Contribute

  • Manage executive and team calendars, schedule meetings across time zones, and coordinate travel and logistics
  • Serve as the first point of contact for internal and external communications; screen calls, emails, and inquiries and route appropriately
  • Prepare, edit, and maintain documents, presentations, reports, meeting agendas, and minutes with high attention to detail
  • Support onboarding and offboarding processes, including gathering documentation, coordinating equipment, and scheduling orientation
  • Assist with procurement and vendor coordination, including quotes, purchase orders, and invoice tracking
  • Maintain organized digital filing systems and shared drives; ensure document version control and confidentiality
  • Track action items, deadlines, and follow-ups for leadership and project teams to ensure dependable delivery
  • Coordinate internal events, trainings, and town halls across global locations (virtual and onsite)
  • Support basic finance/operations tasks such as expense reports, timesheet reminders, and data entry
  • Uphold company values by ensuring professional, customer-centric communication and secure handling of information

What Makes You a Great Fit

  • 1–3 years of experience as an Administrative Assistant, Office Coordinator, or similar support role (tech or consulting environment a plus)
  • Proficiency with Google Workspace or Microsoft 365 (Calendar, Docs/Word, Sheets/Excel, Slides/PowerPoint) and virtual meeting tools (Zoom/Google Meet/Teams)
  • Excellent written and verbal communication skills with professional email and document etiquette
  • Strong organizational skills with proven ability to prioritize, multitask, and meet deadlines in a fast-paced environment
  • High attention to detail, accuracy, and follow-through; committed to quality and continuous improvement
  • Discretion and integrity in handling confidential and sensitive information
  • Comfort working across global teams and time zones; flexibility to support occasional early/late meetings
  • Basic understanding of procurement, invoicing, and expense processes preferred
  • Associate’s degree or higher preferred, or equivalent practical experience
  • Eligibility to work in the United States; ability to be onsite in Atlanta, GA on a hybrid schedule
